Higher Ground Retreats and Events Inc. (“Higher Ground”) is dedicated to providing a world class experience to our clients and do everything within our power to make your time spent with us unforgettable.
Rates
All prices (the “Rates”) quoted are per person and shown in Canadian currency (CAD). The US rates, if listed in brackets, are based on the exchange rate at time of publishing/printing. For all transactions, the exchange rate on the booking confirmation day will be used.
Rates and prices include all amenities as indicated in your reservation. Package price can include your scheduled accommodations, transportation, workshops, wellness treatments, meals and tour features, as specified in your reservation.
All Rates quoted are subject to change without notice. All Rates are guaranteed once your reservation has been confirmed.
The rates do not include taxes imposed by the Canadian Government and local municipalities and in the event of tax changes by the government, Higher Ground will contact you before collecting the revised tax.
Deposit
A sum of 15% of the proposal price due (the “Deposit”) per person is payable by the client (“You”) to Higher Ground or Your travel agency at time of booking. The Deposit is non-refundable. You may pay Higher Ground via direct deposit, cheque, VISA, MasterCard and American Express. We recommend that You purchase cancellation insurance in the event that You are not able to complete Your trip.
Balance Due
The balance of Your payment is due and must be received in Higher Ground’s office 60 days prior to Your scheduled arrival date according to Your Higher Ground trip itinerary (“Arrival Date”). You may pay by cheque, direct deposit, VISA, MasterCard and American Express. When paying in currency other than CAD, the exchange rate on the day that You confirmed your booking will be used to calculate Your total owing.
Balance due is subject to a 6% Federal Goods & Services tax (GST). Non-Canadians are entitled to a rebate of this tax. The form that You must fill out to receive this rebate can be accessed at :www.cra-arc.gc.ca
All tour documents will be sent to You upon receipt by Higher Ground of final payment. If the balance of Your payment is not received 60 days prior to Your Arrival Date, Higher Ground reserves the right to treat the booking as cancelled. Bookings made within 60 days of Your Arrival Date must be paid in full upon confirmation of Your reservation.
Accommodation
Rates are based on double occupancy and standard accommodation unless otherwise stated. For our Whistler adventures, Higher Ground provides standard accommodation, which is a ‘deluxe’ room, at the Fairmont Chateau Whistler (the “Hotel”).
Single supplements and upgrades are available upon request and dependent on availability and are at Your expense. The Hotel makes all room assignments. Higher Ground has no control over which room You will receive. Rooms for twin/double occupancy may be assigned two twin beds or a king. Please advise Higher Ground of Your room preference when booking Your reservation.
Please note that Hotel rooms are non-smoking. Requests for smoking rooms must be made at time of booking.
Unless otherwise instructed in writing by Higher Ground, You shall be responsible for payment of all incidental charges incurred during the Hotel stay to be paid at the time that You check out. Higher Ground reserves the right to substitute hotel accommodations of similar standard, with the consent of the guest, in the event that the Hotel is full.
Meals
Meals are included as specified in Your itinerary provided to You by Higher Ground. Please notify us of any dietary restrictions at time of booking. Gratuity is included for all meals as specified in Your itinerary but guests are welcome to provide additional gratuity where desired.
Special Requests
Should You have a specific request, please indicated in the remarks section of the electronic booking form at the time of booking. We will endeavour to accommodate all such requests, however we cannot guarantee that all special requests will be met.
Cancellation
Higher Ground’s office must receive notification of cancellation in writing by email. Cancellation charges will be based on the date upon which a cancellation notice is received from You. We recommend that You purchase cancellation insurance.
Any cancellation more than 60 days prior to Your Arrival Date will be refunded less Your deposit.
Any cancellation received at Higher Ground’s offices less than 60 days prior to Your Arrival Date is non-refundable.
In the event that a Higher Ground supplier cancels any part of Your reservation, Higher Ground will endeavour to make alternative arrangements for Your reservation. If the alternate arrangement is not acceptable to You then monies for the cancelled portion of Your reservation will be refunded to You. However, Best of Both is not responsible for other incidental costs incurred by You due to a supplier cancelling a booking or a portion of a booking.
There are no exceptions to the cancellation fees.Liability
By making a Higher Ground reservation, You acknowledge the risks involved in vacationing in mountainous areas in summer and/or winter weather conditions. You are aware of the fact that Your guide and/or instructor is not infallible and that, under these circumstances, he/she may be confronted with situations which are not fully controllable. Your guide will make every effort to limit Your risk however, certain situations may arise which will limit his/her ability to do so. Therefore, his/her duty only consists of limiting the risk to a minimum. You will be required to sign a RELEASE OF LIABILITY, WAIVER OF CLAIMS, ASSUMPTION OF RISKS AND INDEMNITY AGREEMENT before being allowed to participate with any of Higher Ground's packages. You may also have to sign any waivers provided to You by Higher Ground's suppliers of activities prior to engaging in those activities. All claims, irrespective of the nationality of the participants, shall be governed in all respects by and interpreted in accordance with the laws of the Province of British Columbia.
Insurance
Higher Ground recommends that You purchase Insurance for Your reservation. Some types of travel insurance that we recommend are:
1. Medical insurance to cover any potential hospital and ambulance expenses
2. Personal insurance to cover loss of baggage, equipment, and personal belongings
It is Your responsibility to ensure that the above insurance covers You while You are participating in a Higher Ground retreat or event. Your travel agent may be able to advise You of insurance options and arrange for You the appropriate insurance coverage.
Right of Refusal
Higher Ground reserves the right to refuse a booking for any reason whatsoever. Please note that some activities in a Higher Ground retreat or event package require a minimum level of personal fitness and physical participation by You. Any pre-existing ailment or illness may disqualify You from an activity. Higher Ground's representatives reserve the right to disqualify any person from an activity if he/she deems that person unfit to continue. To avoid disappointment, please notify Higher Ground ahead of time of any health conditions, illness and/or physical or mental disability that may interfere with Your ability to participate in an activity. Many activities may be substituted to suit Your individual needs.
Acceptance of Risk
You acknowledge that any Higher Ground activities may involve personal risk. You must sign and return to Higher Ground a liability waiver at the time of Your Arrival Date. Not doing so may result in You not being able to participate in any activity requiring a liability waiver. Higher Ground's activity suppliers have their own waivers, which must also be signed prior to engaging in those activities.
Company Policies
Higher Ground has made arrangements for the tour services described in all itineraries. The carriers providing transportation services, hotels and other services are independent contractors (the “Suppliers”) and are not the agents, employees of, servants of, or in joint venture with Higher Ground.
No person other than a representative of Higher Ground authorized by a document in writing may vary, add or waive any of the terms and conditions set forth in the preceding provisions.
